MEET THE WEDDING EXPERTS

To make sure that your Bali destination wedding goes off without the added stress for you and your guests, you need somebody with feet on the ground before you get there to handle all of the last-minute logistics.

Hiring a professional wedding planner to handle all of the details for you is a wise decision. Saves a lot of stress instead of spending hours on the phone attempting to coordinate and make crucial decisions from a distance.

Before you book your venue, we advise consulting with a planner who is familiar with “the locations, venues, and planning perspective” for weddings.

The time and money you save from interacting with their extensive network of vendors and venues will be well worth the investment.

If hiring a planner is out of your price range, however, try to find a hotel or resort with a competent coordinator on site.

Note, however, that they are two quite different roles (more on this later).

Why hire a wedding planner or wedding organizer?

The majority of couples deciding to get married in Bali, don’t actually live in Bali and are unable to visit venues first-hand, and are not familiar with how to get in touch with reliable vendors and services. Hiring a wedding planner is essential for the success of your celebration. When it comes to wedding preparation, Bali has no shortage of either small, specialized “one-person services” or large, well-established companies that can help you.

Some Bali hotels are specially equipped to host your wedding and may even have a dedicated department on-site to handle all of the planning for you, while others may put you in touch with an expert professional who is just as invested in making sure that every detail is perfect for your big day.

wedding arrangement

Some villa management companies that represent wedding-friendly properties (like mansions) may also offer wedding planning services or know reliable vendors they can recommend.

The point is for you to be able to take it easy and enjoy your wedding without having to worry about the details. A wedding planner will collaborate with you to create the wedding’s overall flow and atmosphere, as well as find vendors that meet your needs, wants, and budget.

Choosing a Wedding Planner in Bali - FAQ

Wedding planners are responsible for a wide range of tasks, including creating a budget proposal, visiting potential venues, vetting and hiring vendors, outlining expectations for the big day, and offering creative alternatives.

They will work as a coordinator for your wedding day, ensuring that everything runs well, from the setup and breakdown to the management of all vendors.

Discussions with engaged couples about the finer details of their wedding (venue, music, cuisine, etc.). From the color palette to the rental of decorations and furniture to the placement of lights and other ambiance-affecting elements, the aesthetic of the wedding must be planned from beginning to end.

Meetings with photographers, videographers, florists, designers, DJs, musicians, and others. A wedding planner is responsible for scheduling tasks such as sending out invitations, following up on RSVPs, paying vendors and having difficult conversations with them to ensure they deliver on their promises. Setting up initial consultations with vendors, venues to negotiate and discuss wedding options on your behalf (wedding packages, a la carte planning, client preferences, wedding budget, etc.).

Facilitating the bride and groom’s timely arrival and preparation of wedding attire and other essentials. Getting up very early the morning of the wedding to check on the setup. Monitoring the wedding day preparations to ensure that everything runs smoothly (soundchecks, set-up checks, and more).

Locating and purchasing any items required locally. Palm fronds, blooms, welcome-aboard essentials, or any other last-minute necessities, such as nasi goreng and Bintang runs to the nearest Circle K.

All while remembering to protect those you care about. Notifying loved ones of unusual situations (backup location move, time for transportation, etc.).

They’ll go so far as to hire rain stoppers to ensure your big day stays dry. They would never jeopardize your special day.

It is highly recommended to hire a wedding planner or pick a hotel, that is offering these services from A to Z.

A wedding, even if planned on a budget, is still overall an expensive event. You don’t want to risk that anything goes wrong and want to make sure your investment is safe, handled properly and gives you a magical day that you wish and deserve to experience in Bali.

Example: Getting approval from the Banjar Paying the Banjar Fee in Bali

If you celebrate your wedding in a venue located within a local neighbourhood, which happens often if you rent a villa,  then you need to pay a fee to the local village community unit or banjar. This is quite customary when having your wedding in Bali.

You need permission to organize your event within the local area by informing the community of the potential noise and traffic from incoming guests and the event. The banjar will offer their approval and support upon discussing the fees and details of the event with them. A professional wedding planner will of course make sure this (and all the other requirements) are covered and handled properly.

A lot of future spouses question whether or not they should invest on a wedding planner or trust in a venue coordinator.

If your wedding venue already has a day-of coordinator, hiring a wedding planner may seem like more of a luxury than a necessity.

A wedding planner is not the same as the venue coordinator.

There are in-house organizers at most venues. Their job is to ensure that everything goes off without a hitch during your event, but they also have the responsibility of enforcing the regulations of the location. A wedding planner is there to take care of you and your big day.

A wedding planner’s role is the same whether you engage them to arrange the whole event or just to coordinate on the big day. From early morning preparations to late afternoon vendor check-ins, they’ll be there the whole time.

Usually Yes. Depending on what is specified in your wedding plans, the deposit may differ slightly, although full payment may be requested a few weeks in advance.

A deposit is usually around  30-50% of the overall contract value.

The top Bali wedding planners will be transparent about their work history. Having a well-organized website with great images of previous weddings will give potential couples a sense of the wedding planner’s style and capabilities before they ever get in touch with them.

Even if they can create and maintain a solid website and a respectable social media presence, it won’t prove anything. Read comments and testimonials made by the wedding planner’s clients. Do your research Get some information and choose wisely.

For this reason, we will only recommend wedding planners that have a solid reputation and a history of being reliable partners.
